Cannon Beach Property Management Rental Policies
PAYMENT POLICY:
A payment of 50% of your total rent, including room tax and other fees, are due when you book and confirm your reservation. The balance of the total rent, room tax and other fees are due 60 days prior to your arrival date. Your reservation is not confirmed until payment is received and a signed Confirmation and Rental Agreement is received in our office. Cannon Beach Property Management, Inc will automatically charge the final balance due on the credit card on file. Reservations made 60 days or less prior to your arrival date require payment in full. All payments must be charged on one Visa/MasterCard or Discover card. All payments are nonrefundable except as described in paragraph regarding cancellations/Travel Insurance. Cannon Beach Property Management, Inc. will only confirm reservations requested one year in advance. After 72 hours, if we do not receive a signed Rental Agreement in our office, Cannon Beach Property Management, Inc. will cancel the reservation. If you should move or change your rental arrival or departure dates, and the moved dates are in compliance, Cannon Beach Property Management, Inc, will charge a $45.00 change fee plus tax.
RATES:
Our posted rates are subject to change. All rates and fees are subject to all applicable taxes such as City of Cannon Beach, Clatsop County and State of Oregon collected prior to arrival.
SECURITY DEPOSITS:
Some of our vacation rentals require a refundable security deposit. After you depart, Cannon Beach Property Management, Inc. will inspect the vacation rental for damage and take inventory of supplies and equipment. If the vacation rental is damaged or if any of the supplies or equipment at the vacation rental are missing or damaged, then Cannon Beach Property Management, Inc. will deduct the appropriate amount from the Security Deposit to cover such damage and refund the remaining amount to the same form of payment used to confirm the reservation.
ADJUSTMENTS:
Cannon Beach Property Management, Inc. does not adjust the rent or fees or room tax for acts of God, failures, or events beyond Cannon Beach Property Management, Inc. control. This includes, but is not limited to, inclement weather, construction from nearby sites, power outages, water and plumbing system breakdowns, TV cable or satellite blackouts, pest infestations, guest emergencies, and or appliance malfunctions or mechanical failure of any appliances and such adjustments should not be expected. Cannon Beach Property Management, Inc. cannot predict construction plans near your vacation rental. You may reserve a property without construction nearby, but construction could start at any time prior to your arrival. We will not be able to provide construction status and will not be able to provide refunds or relocation due to this.
CANCELLATIONS:
Cannon Beach Property Management, Inc. understands that situations can occur that may cause you to cancel your reservation. If you need to cancel your reservation, you must notify your request in writing via email [email protected] or letter to our mailing address. We do not accept notices to cancel by telephone. At time of cancellation request all monies, including the final balance, are due and payable upon cancellation to Cannon Beach Property Management, Inc.
If you elected to NOT purchase The Redsky Travel Insurance, or if you purchased Redsky Travel Insurance , and your cancellation is not covered, then (a) if we can re-rent the property for any of the nights that you reserved, we will return your payment for the nights that we were able to re-rent, minus a cancellation fee of $150.00, (b) if we are not able to re-rent your reserved nights, then you forfeit all monies paid.
REGULATIONS:
OCCUPANCY:
The maximum occupancy for this property is set forth by The City Of Cannon Beach and enforced at all times. You may NOT allow more persons than the listed maximum occupancy at any time, including daytime visitors or overnight guests. All of our Managed properties are located in residential neighborhoods and may NOT be used for weddings, wedding receptions, parties, or any other large group gatherings. To comply with City licensing requirements, Cannon Beach Property Management, Inc. reserves the right to terminate your Rental Agreement at once if you exceed the maximum occupancy limit or if you allow a wedding, wedding reception, party, or other large group gathering to occur at the property. If Cannon Beach Property Management, Inc. terminates your Rental Agreement for this reason, you will have to vacate the property at once and you will not receive a refund of any of the rent and other fees.
UNAVAILABILITY OF UNIT:
Should the unit become unavailable prior to your occupancy due to circumstances beyond the control of Cannon Beach Property Management, Inc, or The Property Owner, we will either substitute a comparable accommodation or offer a refund at our discretion.
PARKING:
Each Vacation Rental has posted at the house designated parking areas and maximum number of vehicles allowed at each property and enforced by The City Of Cannon Beach. Please park in designated areas only. No RV's, campers, or trailers can park on the property at any time. Tents on the property are also not allowed.
SMOKING:
NO smoking or vaping is allowed at any time in any of our vacation rentals. If you smoke or vape in one of our vacation rentals, Cannon Beach Property Management, Inc. will charge you to remove the smell. Please leave decks and yards clean and ready for the next guest.
PHONE and TV:
You are responsible for the cost of all your long distance calls placed from the house during your stay. Please place your long distance calls from your cell phone. Purchases made on streaming TV or from cable companies will be charged directly to your credit card if made during your stay.
CHECK IN/ CHECK OUT INSTRUCTIONS:
Cannon Beach Property Management, Inc. strives to clean and inspect your vacation rental for a 4pm check in. After your final payment you will receive by email a door code/lockbox code depending on the property, which will allow you to proceed directly to the property for a 4pm check in, if the property has been released as fully cleaned and verified with the office that it is ready. If your property is ready prior to 4pm, you might be able to check in early. You will receive a notification if the property is ready earlier than 4pm. Upon checking out at or before 11:00 am, place the key in the lockbox, if your house has a lockbox, and make sure the door is secure. If you have a Point Central door lock enter code 123456 and the checkmark on the lock to notify the office you have checked out. You will be charged a late check out fee plus tax if you have not checked out at the required time of 11:00 am.
TRAVEL INSURANCE:
Due to unforeseen circumstances such as, illness, injuries, mandatory evacuation and even job loss, Redsky Travel Insurance is offered to protect your vacation investment (as described in the policy). The Insurance premium is due with final balance due 60 days prior to your arrival and coverage begins with receipt of your payment. Once the insurance premium is paid, it is Non-refundable.
If you elected to purchase Redsky Travel Insurance and your reason for cancelling is covered by Redsky Travel Insurance, then you forfeit the payments you have made and you keep any amounts that Redsky Travel Insurance pays you under the Insurance policy.
If you elected to NOT purchase The Redsky Travel Insurance, or if you purchased Redsky Travel Insurance , and your cancellation is not covered, then (a) if we can re-rent the property for any of the nights that you reserved, we will return your payment for the nights that we were able to re-rent, minus a cancellation fee of $150.00, (b) if we are not able to re-rent your reserved nights, then you forfeit the payments you have made. CLEANING:
Your vacation rental will be cleaned prior to your check in. A starter supply of toilet tissue, soaps and paper towels, dish washer tabs, kitchen garbage bags will be included. All items from the vacation home, including, but not limited to, firewood, furniture, and towels, deck furniture and BBQ's may NOT be taken to the beach at any time. After you check out, Cannon Beach Property Management, Inc. will check for damage and inventory of items. If items from the property are damaged or missing, you authorize Cannon Beach Property Management, Inc to repair or replace damaged or missing items.
LOCKOUT:
If you are locked out of your vacation rental, which requires a key/code and this happens during business hours, please call our office at 503-436-2021 for instructions on how to obtain access to the vacation rental. The key/code will only be given to the person on the Confirmation and Rental Agreement for your security. If you are locked out after business hours, call our emergency phone 503-440-5909 for a key/code for access to the vacation rental.
LOST AND FOUND:
Please check carefully before you check out for items that you might leave behind. Cannon Beach Property Management, Inc. is not responsible for lost or stolen items. If you need Cannon Beach Property Management, Inc. to send back left behind items, you will need to purchase and email to Cannon Beach Property Management, Inc. at [email protected] a Flat Rate mailing label from the USPS website. Cannon Beach Property Management, Inc. will pack and send back to you the left behind item(s) with your label once received.
RELEASE FROM LIABILITY:
Upon signing of the Confirmation and Rental Agreement, you agree to defend, indemnify, and hold harmless Cannon Beach Property Management, Inc, its employees and agents, and the Property Owners from all claims and liability related to death, personal injury, property damage, and loss of enjoyment of yourself and any occupant of the vacation rental property, regardless of the cause, including but not limited to power outages, rain, sun, flood, fire, and/or theft, including failure of appliances and /or equipment. Cannon Beach Property Management, Inc. sole responsibility will be to attempt to correct the problem as soon as practical, or to move you and all guests to the most comparable available accommodations, providing that you notify Cannon Beach Property Management, Inc. immediately upon arrival or time of failure or other occurrence.
PET POLICY:
We allow family dogs in designated homes only, at a charge of $65.00 per stay plus tax. Please clean up after your pet, including cleaning up any "calling cards" that your pet might leave in the yard. CBPM will charge a yard cleaning fee of $100.00 if we have to clean what your pet leaves in the yard. The Owners and CBPM ask that you do not leave your pet unattended at any time, in the property. Dogs are never allowed on the furniture. Dog owners will be charged for extra clean up after your dogs if needed.
ELECTRONIC SIGNATURES:
You may sign a Confirmation and Rental Agreement or other required documents with electronic signature such as "DocuSign" , which will be binding as if hand signed with original signatures.
MINIMUM NIGHT STAY REQUIREMENTS
Each CBPM season, and City of Cannon Beach regulations, require certain minimum night stays, as well as designated arrival and departure dates. Some of our properties require 14 nights stay between each guest's arrival date. Depending on the season, this may not require the entire 14 nights to be booked by the guest, but will still require blocking out the remaining nights to fulfill the regulation. CBPM policies for booking are below:Summer=some properties require a 14 night minimum stay.
Holidays=some properties require a one week minimum stay and others 3-4 nights.
**Outdoor furniture and BBQ's are only available for guest use from Memorial Day to Labor Day. This is due to inclement weather conditions we experience here on the coast. Thank you for your understanding.
